GDPR and Data Privacy Notice

Quizzology​ will be what’s known as the ‘Controller’ of the personal data you have provided to clients of ​Quizzology​. We only store basic personal data about you, which does not include any special types of information. This does however include name, email and photo (optional), address (optional) and phone number (optional).

Why we need your data                                        

We need to know your basic personal data in order to assess your English language level. We will not collect any personal data from you which is not essential to the service we are providing. ​Certain types of our tests require users to submit their video/audio feeds or access their device’s camera (for verification purposes). This may result in us having a stored image of your face and/or a record of your performance and actions while connected to Quizzology. This information is used to verify to your institution that you were the person performing the work and that the work was performed properly.

The following activities require the use of personal data in order for us to provide our products and/or services:                                

• The collection, marking and grading of exams, the administrative systems used to support these processes and the issuing of certificates.

• Investigating allegations of misconduct in relation to the sitting of exams.

• Checking that an individual (e.g., a candidate) is who they say they are.

• Handling complaints.        

Where do we host your personal data?                

Our data server is located in Paris, France and is hosted at Amazon Web Services (https://aws.amazon.com/fr/paris/).                                 

What we do with your data                                                

All the personal data we store is processed by our staff in the EU, and for the purposes of IT hosting and maintenance this information is located on servers within the European Union. ​The communication is secured with HTTPS protocol. Cryptographically secure JWT tokens are used for authentication and authorization.        

No third parties have access to your personal data unless the law allows them.

We have a Data Protection regime in place to oversee the effective and secure processing of your personal data.

Who receives the data we collect and why do we pass this information to them?

The recipients of your data are:

1. The recruiters you apply to, the HR team or the Training Company that has asked you to take the test, acting as a controller
2. Quizzology  team, acting as a processor:                                                        

1. Technical manager: in the case of a technical or product emergency                                                                        
2. Customer service manager: in the case of a request from the controller                                                                
3. Applicant support manager: in the case of technical concerns with your IT equipment, to provide you with assistance                                                                

3. Language test assessors. Written answers and other data such as audio, eventually videos and photos are anonymised.                                                                                                

Retention period for personal data

Photos are kept for a standard period of 7 days.

The applicant’s personal data, audio recordings and written answers are kept for a standard period of 2 years (customisable by customer).

These data are retained so that the controller can continue to view the results of your test after the event.

Accessing your data                                                

You may request access to your data or request your data be completely purged from the software by our system or client administrators. Please contact ​gdpr@theenglishquiz.com​ for more details.

Your rights                                                

If at any point you believe the information we process on you is incorrect, you can request to see this information and have it corrected or deleted. If you wish to raise a complaint about how we have handled your personal data, you can contact us to have the matter investigated: complaints@theenglishquiz.com.

Internet Users who supply information (other than personal information) to Quizzology hereby grant to Quizzology all transferable rights relating to said information and authorize Quizzology to use said information as best it sees fit. Quizzology may terminate or modify the nature of the services and/or conditions governing the use of the Website at any time and without notice being required.

The Internet User declares that she or he is aware of the technical risks inherent in the Internet network and acknowledges that no site can be kept safe from intrusion by unauthorized third parties and may become harmed as a result; that information circulating on the Internet is susceptible to interception by third parties and that under these circumstances Quizzology is unable to guarantee that Internet Users will not be a victim of such actions.
